Privacy notice

This notice explains what we do with your details when you ask for free sample images, when you contact us, and when we email you first about our service. We keep it short because we collect very little.

Who we are

LoomReach is run by LoomReach Limited, registered in England and Wales, company number 16839451. Registered office: 411 Oxford Street, Office 1.01, London W1C 2PE.. We decide how your details are used, which makes us the "controller" under UK data protection law. You can reach us at loomreach@loomreach.ai.

What we collect

When you fill in the free sample form, we collect:

• your name, work email and company
• the link to the product page you send us
• anything you write in the note

If you email us or send photos, we also have what you send. We don't ask for, and you don't need to give us, anything else.

This site sets no cookies and runs no tracking or advertising scripts.

Why we use it

• To make your free sample images and send them to you.
• To reply to you, and to follow up once about the sample.
• If you become a client, to do the work you've asked for and to invoice you.

Our legal reason is that you asked us to do this: we use your details to take steps you've requested before any contract, and then to carry out the contract. We won't add you to a mailing list or pass your details to anyone for their own marketing.

If we emailed you first

We sometimes email people at tool, hardware and DIY businesses to offer this service. If that's how you heard from us:

• Where we got your details. Your name, job title, company and work email came from public business sources, such as your company's website [list the sources you use], or from a B2B data provider [name the provider(s)].
• Why we contacted you. We have a legitimate interest in offering a relevant business service to people whose work involves product listings. We only use work email addresses, and only to write about this service.
• How to opt out. Reply "no" to any of our emails, or email loomreach@loomreach.ai. We won't email you again. [We keep your email address on a short do-not-contact list so you aren't contacted again by mistake: confirm.]
• How long we keep your details. If you don't reply, we delete them 6 months after our first email.

You can also use any of the rights below, including asking us where your details came from.

Who else handles it

We use a few trusted services to run the business. They only use your details to provide their service to us:

• Formspree receives the form and passes it to us by email. It is based in the United States; transfers are covered by [Formspree's data processing agreement and the UK International Data Transfer Addendum / UK–US data bridge: confirm].
• [Email provider, e.g. Google Workspace or Microsoft 365] holds our email.
• OpenAI is the AI image service we use. It processes the product photos and product page details you send, to make the images. We send it product images and product details only, never your name or email address. OpenAI is based in the United States; transfers are covered by [OpenAI's data processing addendum and the UK International Data Transfer Addendum / UK–US data bridge: confirm]. [OpenAI says it does not use data sent through its API to train its models: confirm this applies to your account.]
• If you book a call, Calendly handles the booking. If you pay, Stripe handles the payment; we never see your full card details. Each has its own privacy notice.

How long we keep it

• If you ask for a sample and don't become a client, we delete your details [12 months] after we last heard from you.
• We delete form entries from Formspree within [30 days], once they are in our email.
• If you become a client, we keep invoices and the records behind them for six years, as UK tax law requires.

Your rights

You can ask us to show you the details we hold about you, correct them, delete them, or stop using them. Email loomreach@loomreach.ai and we'll reply within one month. To ask for deletion, just say "please delete my details"; you don't need to give a reason.

If you're unhappy with how we've handled your details, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes

If we change this notice, we'll update the date at the top. If a change affects how we use details you've already given us, we'll email you.
